Ask the receiving organisation whether it needs a Dutch copy, an internationally coded certificate or a translation. The internationally coded version is not a literal translation. For use in another EU country, ask Huwen en Samenwonen about a translation aid; confirm acceptance before paying for a sworn translation. For assisted digital self-service at the Stadskantoor, bring your card and PIN.

Prepare your ID or residence card. For another person’s record, also have their national-register number and any required interest evidence or mandate. For use abroad, ask the receiving authority which version it needs: Dutch certificate, international version, multilingual translation aid or sworn translation. The birth team can advise on the EU translation aid by phone or email. The parental exemption concerns legitimate-interest evidence, not the required identity details.
