Map status before opening a form

An ordinary Spanish tax resident uses the annual IRPF model 100 for worldwide income. A true non-resident normally uses IRNR forms for Spanish-source items instead. A taxpayer who validly elected the displaced-worker regime remains an IRPF taxpayer but uses its dedicated calculation and annual form. Self-employed people also complete quarterly and information returns during the year; those do not replace annual personal IRPF.

State AEAT competence is not universal. Navarra and the three Basque provincial treasuries operate foral income-tax systems. Within common territory, autonomous-community residence changes the regional scale and deductions even though the return is filed through AEAT. The official regional-residence rules start with greatest days, then principal income interests and then last declared residence when earlier tests do not decide the result.

Choose obligation and household route

A filing duty is tested across employment, capital, gains, imputed property, activities, foreign income, RETA status and minimum-income membership. Staying below one employment threshold does not excuse a separate mandatory category. A person not required to file may file voluntarily to recover excessive withholding or claim a benefit, but should calculate the complete return first because filing can also produce tax due.

Eligible family units compare individual and joint returns. Joint filing combines defined family income and can change reductions, deductions and liability allocation; marriage alone does not make it automatically cheaper. Both spouses must supply complete data before comparison.

Use ordinary state IRPF only after confirming common-territory competence, a foral return where the statutory connection requires it, special-regime filing only with a valid election, and IRNR for non-resident income. Employees should test obligation and refund value, every 2025 RETA registrant should plan to file, landlords and investors should classify each item, and cross-border households should complete residence and treaty analysis before choosing any draft result.

Confirm the taxpayer and administration

First decide whether the person was Spanish tax resident for all of 2025 under the domestic day, economic-interest and family tests and any treaty. Immigration residence, NIE, padrón or payroll treatment is evidence, not the final test. A common-territory resident then determines the autonomous community; Navarra or Basque connections require a separate foral-competence check. Citizenship, EU status, student status and visa type do not create their own annual-return exemption.

Apply the 2025 filing table

The official 2025 obligation sheet sets a EUR 22,000 gross employment-income limit in the general one-payer case. It also applies with several payers where the second and later payers together do not exceed EUR 1,500. The limit falls to EUR 15,876 in listed cases, including later payers above EUR 1,500, foreign pensions or other payers not required to withhold, non-exempt maintenance income, and employment income subject to a fixed withholding rate.

Separate limits include EUR 1,600 jointly for defined investment income and gains subject to withholding, and EUR 1,000 jointly for specified imputed property income, Treasury-bill income and certain public grants or gains. The low-income exclusion applies only where its exact mix and loss conditions are met. Exempt income is not counted for obligation thresholds.

Regardless of amount, anyone registered at any time in 2025 in RETA or the sea-worker self-employed regime must file. Every minimum-income recipient and member of that household unit must also file. Filing can also be needed to use specified housing-transition relief, protected-asset contributions, international double-tax deduction or pension-system reductions.

Test rental, business, foreign employment, pensions, dividends, interest, gains, crypto transactions, options and property imputation independently. Then calculate a complete return even if filing appears optional. Confirm ambiguity through the current AEAT Renta assistant or the competent foral treasury before the deadline, and document the facts and threshold calculation used.

Reconcile every imported figure with issuer records and reconstruct anything AEAT cannot know.

Assemble identity, residence and access

Keep NIF, DNI, NIE or passport; tax address; 2025 day and home evidence; autonomous-community connection; and any foreign residence certificate or treaty analysis. Prepare Clave, reference number, electronic certificate or DNIe, but never give credentials to an adviser. For a representative, use a lawful power or registered social-collaboration route and retain its scope.

Reconcile income and ownership

Download AEAT tax data and the draft, then match them against employer and pension withholding certificates, payslips, Social Security and benefit certificates, bank interest, dividends, broker transactions, fund switches, share plans, options and crypto records. Record gross income, withholding, ownership percentage, acquisition date, cost, fees and disposal proceeds. Reconstruct transferred securities through old statements and corporate actions.

For each property, keep deed, cadastral reference, ownership and usufruct percentage, acquisition costs, cadastral value, use dates, leases, rent, vacancy, invoices, mortgage interest where relevant, depreciation inputs and sale records. Business records include census status, activity books, invoices, quarterly forms, VAT classification, contributions and deductible expenses.

Family evidence can include marriage or separation records, children's identity and residence, disability recognition, maintenance decisions, childcare, maternity deductions and household status. For every national or regional deduction, preserve the issuer, payment, statutory date and eligibility facts.

Build the foreign-income file

List worldwide employment, pensions, benefits, rent, interest, dividends, gains, companies, partnerships, trusts and accounts in original currency and euros. Keep the conversion source and rate, foreign filed return, assessment, withholding statement and proof tax was paid. The 2025 practical IRPF guide controls classification and the available foreign-tax relief.

Do not surrender originals merely to prepare Renta WEB. Use redacted copies for quotes, encrypted transfer for an adviser and a sharing log. Before filing, match names, NIFs, addresses, dates, payer identities, bank ownership, regional status, individual or joint choice, foreign amounts and prior-year carryovers. Save the source document behind every adjusted draft figure.

Follow the filing sequence

  1. Confirm status and competence. Complete 2025 residence, common versus foral territory, autonomous community and special-regime analysis before opening the state return.

  2. Secure access. Use Clave, reference, certificate or DNIe. Test access early and verify the official sede domain.

  3. Ratify the tax address. Correct a wrong address through the applicable route. Business census taxpayers use the census process, not only the personal address screen.

  4. Download tax data. Save the initial dataset and draft so later edits can be explained. Add spouse data only with lawful identification and consent.

  5. Reconcile every category. Compare payroll, benefits, bank, broker, property, activity, family and foreign records. Add missing worldwide income, gains, assets, expenses, foreign tax and carried balances.

  6. Classify and calculate. Apply the correct general or savings category, ownership, deductible cost, withholding, treaty credit, national deductions and autonomous-community deductions. Do not enter net foreign income where gross income and separate tax are required.

  7. Compare household options. Where eligible, calculate every individual's return and the joint return using complete data. Record why the selected option is valid and preferable.

  8. Review warnings and bank details. Clear unresolved errors, check the full declaration, select payment or refund, and verify the IBAN holder.

  9. Submit the selected return. The official Renta WEB guide explains the browser service and supported identity methods. Confirm that the screen reports a successful filing.

  10. Save proof. Download the accepted model 100, filing timestamp, receipt, secure verification code, payment NRC or debit instruction and model 102 where relevant.

  11. Track the expediente. Verify the filing appears, monitor notices, confirm debit or refund and answer information requests with indexed evidence.

Telephone and office assistance require current campaign appointments and eligibility, but the taxpayer remains responsible for complete information. A representative can file with valid authority. Never send a return by ordinary post or treat an unsigned PDF as submission. After acceptance, update the evidence archive and next-year withholding, instalments, address or census data where the filed result reveals a mismatch.

Separate the free official service from the tax liability and optional evidence or advisory costs.

Separate service cost from tax

Renta WEB, official telephone or office campaign assistance, tax-data access and submission have no filing fee. Optional costs include an asesor, tax software, sworn translations, foreign certificates, broker reconstruction, valuation, travel, digital-certificate hardware and specialist treaty advice. Obtain a fixed scope and require the completed return, calculations and receipt. Avoid paid mirror websites, refund-percentage services and anyone promising a result before seeing worldwide records.

Tax due is the final calculation after rates, allowances, deductions, withholding, instalments and foreign credits. Withholding is only a prepayment, so a refund does not prove the return is complete and a payment does not mean payroll was wrong. Compare household and regional positions before submission, then reserve the full liability.

Use the dated 2026 payment routes

For a bank-debited 2025 return, the official payment timetable allows full debit or the first 60 percent from 8 April through 25 June 2026, collected on 30 June. A timely original return can generally use the special 60/40 split: 60 percent on 30 June and 40 percent on 5 November. The special split is not the same as a hardship deferral and does not apply to every late or corrective payment. Verify the second-payment instruction and keep funds available.

Other supported payment methods can use an NRC, electronic account charge, card or secure instant-payment channel. A rejected debit does not erase the debt. Late voluntary filing can produce statutory surcharge and interest; penalties depend on the conduct and procedure. Formal deferral or instalment requests can have interest, evidence and approval conditions.

A refund is paid to a taxpayer-held account after checks. AEAT's refund-status guidance gives the administration six months from the campaign end, or from a late filing date, to pay or start verification. Authority-attributable delay beyond that period carries automatic interest on the approved amount. Budget as if the refund may take the full period and never borrow against an unverified draft result.

For income year 2025, reference access opened on 11 March 2026 and tax-data access on 18 March. The official campaign calendar opened internet filing on 8 April. Telephone appointment requests began 29 April and telephone filing 6 May. In-person appointment requests began 29 May and office filing 1 June.

The last day to request campaign appointments was 29 June. Direct debit for a payable return closed on 25 June, before the 30 June 2026 campaign end. A return filed electronically by the deadline is timely when the system accepts it and issues the timestamp and secure verification code. Starting a draft, booking an appointment, making an unsupported bank transfer or receiving an error screen is not filing.

Protect the post-filing record

Immediately download the accepted model 100, payment or refund document, model 102 if used and receipt. Verify the expediente lists the return, the IBAN and payment option are correct, and any debit clears. Keep Clave or certificate access and electronic-notice contact current. An accepted self-assessment remains subject to data matching, refund verification, information requests and assessment.

Track a refund through Renta WEB. For tax due, retain bank proof and reconcile each instalment. Respond to notices by the deadline shown and preserve the full administrative file. The ordinary four-year limitation is calculated from the legally relevant filing or payment dates and can be interrupted, so it should not be guessed from memory. Keep records longer where property basis, loss carryovers or other future claims depend on them.

Backward-plan the next action

Six weeks before campaign end, complete residence and foreign documents; four weeks before, reconcile income and deductions; two weeks before, compare filing options and resolve access; before 25 June, decide direct debit; before 30 June, submit and verify proof. After a job, business, marriage, separation, birth, regional move, graduation or departure, update payer, census and address records and start the next calendar-year evidence file.

If a mistake is found, preserve the original receipt and use the correct 2025 modification route promptly. Do not wait for an authority query merely because four years may remain.

Reconstruct the filed position first

Download the original accepted return, receipt, tax data, notices and payment record. Identify the affected year, administration, filing option, income category, tax difference and earliest deadline. A missing foreign pension, account, rental, gain, crypto disposal or property cannot be fixed by altering a private worksheet. A wrong autonomous community or foral territory requires competence analysis before submitting another return.

For 2025, the official modification route normally uses Renta WEB's filed-return option and a corrective self-assessment. It retains correct original data, changes errors and adds omissions. The result can increase payment, reduce payment or request a refund. Preserve the original justification number and the new receipt. Changing individual or joint filing uses the dedicated change-of-option route and is not freely reversible after every deadline or authority action.

Match remedy to the failure

For late filing, calculate tax, surcharge, interest and payment before voluntary submission; do not wait for a demand. For a rejected or missed debit, obtain the debt status and payment letter immediately because filing and payment are separate. For delayed refunds, inspect the expediente and answer verification requests rather than filing duplicates.

An AEAT proposal allows allegations before assessment. A final assessment or penalty can use reconsideration or an economic-administrative claim within the stated period, followed where appropriate by court review. Challenging a debt does not always suspend collection, so evaluate payment, guarantee, deferral and suspension separately. Treaty double-tax disputes may also justify a competent-authority procedure. Foral decisions follow the responsible treasury's own review route.

Contain fraud and adviser failure

Use only the official domain. If credentials, certificate, reference or bank instructions were compromised, revoke access, contact the bank and AEAT, preserve messages and report identity theft. Never pay a refund-release fee or share a one-time code. If an adviser filed incorrectly, obtain every return, authority and source document, correct the tax position on time, then address professional liability separately.

Bring a chronology, original and proposed figures, source evidence, notices, service dates, payments, requested remedy and deadlines to AEAT assistance, the foral treasury, legal aid or qualified cross-border counsel.
