Identify the period and parties

The payslip should identify legal employer, worker, contribution account or identifying data, Social Security number, professional group or contribution group, settlement period and paid days. First compare these with the contract, alta and actual work. A wrong employer, group, days or part-time coefficient can distort later lines.

Spain's official payslip model separates devengos, deducciones, bases and líquido a percibir. Salary earnings commonly include base salary, convenio or role supplements, seniority, nights, shifts, overtime, bonuses, commission, extra-payment proration and salary in kind. Non-salary items can include properly documented expenses or compensations. The label is not decisive if the payment really remunerates work.

Follow gross to net

Total devengado is the gross earnings listed for the period. Deductions then include the employee Social Security shares, IRPF withholding, approved advances, in-kind valuation effects, garnishment or other lawful items. Net pay is gross minus deductions. Compare it with the bank credit and payment date. An employer's total Social Security contribution is shown for transparency and is not another amount subtracted from the worker's net.

Contribution bases can include remuneration and prorated extra payments under Social Security rules and can differ from cash paid that month. Common-contingency, occupational or unemployment, overtime and IRPF bases serve different calculations. Taxable benefits in kind can increase gross and withholding without increasing cash. Genuine expense reimbursements need evidence and correct treatment.

Understand 12 and 14 payments

Many workers accrue two extra payments. A convenio can permit proration across 12 monthly payslips or require separate payment months. Compare guaranteed annual gross, not an ordinary monthly figure. The payslip should show prorrata de pagas extraordinarias in contribution bases even where extra pay is delivered separately.

Use the official model as a map, then test every amount against the Workers' Statute, current REGCON convenio, annual contribution and tax rules, contract, hours and actual payment.

What Changes Pay

Use the worker's actual contractual, tax, and contribution facts for the period.

Establish contractual pay

Find the applicable collective agreement by employer activity, territory and company agreement, then match actual duties to professional group. Use its current salary table, annual hours, supplements and extra-payment rules. Compare with the national floor. Part-time base and time-dependent items are proportional only to the lawful contracted and actual schedule; protected rights cannot be reduced merely because hours are part time.

Temporary, fixed-discontinuous, training and agency arrangements can change unemployment contribution type, inactive periods or specific pay rules, but the employee still receives a proper payslip. A student, migrant, EU citizen or family member uses the same payroll framework when employed; immigration permission does not set a lower wage. Self-employed invoices are outside employee payroll unless the arrangement is false self-employment.

Test contribution and tax facts

Contribution group, contract type, base minimum and maximum, overtime, exclusions and special scheme affect Social Security. Benefits in kind, meal or transport products, travel reimbursements and severance require item-specific tax and contribution treatment, not a blanket tax-free label.

IRPF withholding estimates prepayment from expected annual employment income and communicated circumstances. Tax residence is determined under domestic and treaty facts, not simply by residence card. Multiple or changing employers can each withhold based on their information, producing a later annual balance. A low withholding is not extra salary.

Form 145 communicates defined personal and family facts to the payer. The Tax Agency procedure states it is handled with the payer rather than electronically filed there. A worker can decline optional disclosure and accept potentially higher withholding, but must not provide false facts.

Scrutinise other deductions

A lawful garnishment follows an official order and protected wage rules. Union dues, advances, loans, accommodation, equipment or damage cannot be deducted merely because payroll can add a line. Ask for the instrument, calculation, protected amount and remaining balance. Verify ambiguous contribution treatment with Social Security, withholding with the payer or Tax Agency, convenio pay with representatives or a union, and enforcement with qualified labour advice.

Preserve enough evidence to reconstruct every pay period and correction.

Keep the source records

Preserve the complete contract and annexes, current convenio and salary table, Social Security alta, professional group, schedules, daily time records, leave, overtime approvals, bonus conditions, expenses, remote-work terms and changes. For each month keep the original electronic payslip, bank credit and any cash evidence. At year end obtain the payer's withholding certificate and compare it with cumulative payslips and tax data.

Keep the signed form 145 version and date delivered to payroll plus later changes. Do not send intimate family records beyond what the form or payroll law requires. Retain garnishment orders, loan or advance agreements, union authorisation and expense receipts supporting unusual deductions or non-salary items. Keep the employer explanation for every retroactive adjustment and link the original and corrected months instead of overwriting the first record.

Check independent Social Security records

Use the Importass employment-history report to verify employer, scheme, alta, baja and days. It can be downloaded at any time and supports correction requests. Then use the contribution-base report to compare employer-declared monthly bases with payslips.

A correct vida laboral does not prove the base or hours are correct. A base report does not prove the bank payment. Use both with payroll and actual-work evidence.

Repair missing proof

Ask payroll in writing for missing or corrected payslips and calculation details. If bank narration is unclear, obtain statements. If cash was paid, log amount, date, payer, message and witness. Save SEPE contract data, tax data and employer communications as substitutes without treating one system as conclusive. Download the complete payslip history before an employer portal closes after termination.

Reconcile names, Social Security number, employer identity, period, days, group, hours, annual pay, bases, withholding and net. Create a month-by-month spreadsheet and evidence index. Keep originals, submit copies, redact unrelated personal data, and obtain a receipt for formal corrections or claims.

Move from calculation to written correction without losing claim time.

Audit in a fixed order

  1. Identify period and employer. Confirm settlement dates, paid days, legal entity, alta and contract.

  2. Verify group and convenio. Match actual duties to the registered agreement and salary table. Record base, supplements, annual hours and payment count.

  3. Reconstruct time. Compare ordinary, overtime, nights, holidays, leave, incapacity and expenses with schedules and records.

  4. Map every earning line. Classify salary, non-salary, benefit in kind, extra-payment proration, bonus and expense. Do not jump directly to net.

  5. Check each deduction. Apply the correct employee contribution rate to its base, inspect IRPF and demand the basis for any advance, garnishment or other deduction.

  6. Reconcile the bank. Net should equal the payment or documented split payments. Record lateness and cash separately.

  7. Compare independent records. Download vida laboral and contribution bases from Importass. Check employer, dates, contract coefficient and bases month by month.

  8. Correct personal tax data. Deliver an updated form 145 to the payer when relevant facts change. Ask payroll to confirm effective month. This changes withholding, not final tax law.

  9. Raise a written payroll query. Attach a compact table with current amount, correct amount, rule, evidence, gross difference and requested payroll, bank, contribution and certificate corrections. Ask for a corrected payslip. State whether the same error affects earlier periods so payroll does not repair only the latest month.

  10. Escalate the unresolved shortfall. Use representatives or union, Social Security correction, Tax Agency clarification, Inspectorate and conciliation or social court according to the issue. Preserve the claim receipt and deadline.

After a correction, verify the amended payslip, bank transfer, contribution base, withholding certificate and tax data rather than accepting an email promise. On job end, audit final wages, extra pay, holiday, expenses and termination amounts. Notify benefit or immigration bodies only where corrected income or employment status affects their decision.

Use current rates and personal facts instead of a generic net-salary percentage.

Apply 2026 rates to the correct base

The official 2026 General Scheme table shows ordinary employee shares of 4.70 percent for common contingencies, 0.15 percent for the intergenerational equity mechanism and 0.10 percent for vocational training. The employee unemployment share is generally 1.55 percent for the listed indefinite branch and 1.60 percent for ordinary fixed-duration contracts. Overtime has separate additional rates.

Occupational accident and disease and FOGASA contributions are employer-only. They can appear in the employer-cost section but should not be deducted from worker net. These August 2026 facts are annual and scheme-specific. Contribution bases, minimums, maximums, special contracts and exclusions must be checked for the actual period.

Separate tax withholding

IRPF withholding depends on expected remuneration, contract and personal data communicated to the payer. It is a prepayment toward final annual tax. Tax residence, multiple payers, other income, deductions and treaty facts can produce a refund or payment in the annual return. The employer should provide an annual withholding certificate. A net calculator is only an estimate.

Benefits in kind can increase taxable remuneration. Genuine documented travel or work expenses can receive different treatment. Extra payments may be separate or prorated but remain part of annual gross and contribution calculations. Severance has rule-specific tax and contribution treatment; do not assume every settlement amount is exempt.

Price correction and advice

Payroll, Importass reports, Social Security correction, Tax Agency information and Inspectorate filing are free. Costs can include union membership, graduado social or lawyer, tax adviser, translation, expert calculation, travel and court-related evidence. Ask for written scope and fees. Avoid companies promising a guaranteed refund for a percentage without identifying the legal claim and data access.

Calculate three layers: contractual gross entitlement, statutory employee deductions, and final annual tax. Then compare actual payslip and bank payment. This prevents a tax-withholding disagreement from hiding an unpaid wage or a correct withholding change from being mistaken for a salary cut.

Payroll Calendar

Keep monthly, annual, and termination clocks separate.

Maintain a monthly control cycle

On each pay date, save the payslip and bank credit, compare days, hours, earnings and deductions, and note discrepancies immediately. Contribution reporting follows the employer's monthly Social Security cycle, so recheck Importass after data becomes available rather than expecting same-day display. Ask payroll for a correction date and verify the amended base later.

Extra-payment months, proration and bonus deadlines come from statute, convenio and contract. Calendar them separately from ordinary wages. Deliver updated form 145 data when a relevant fact changes and keep the receipt. A new job, second payer, pay rise, part-time change, family change or tax-residence issue can alter withholding prospectively and final annual tax.

Close the calendar year

Add cumulative gross, contributions and IRPF across all employers. Obtain each payer's annual certificate and compare with Tax Agency data before filing the annual return. The national tax campaign dates change each year. A corrected payroll after year end can require an amended certificate, contribution change and tax response. Do not silently edit prior spreadsheets without preserving versions.

Protect employment and claim transitions

At job end, obtain the final payslip, finiquito calculation, bank payment, company certificate, updated vida laboral and later contribution bases. Check wages, extra payments, unused holiday, expenses and termination money independently. Register for employment and benefits on their own deadlines. A job change or departure does not erase an existing wage claim.

The Workers' Statute uses a distinct limitation period for wage claims, normally running from when each amount could be claimed. Termination and other actions can be much shorter. A written payroll complaint, Inspectorate report or promise to fix does not automatically pause court time. Use the Social Jurisdiction Act and current advice for conciliation and filing.

If the employer becomes insolvent, obtain enforceable wage or indemnity recognition and insolvency evidence. FOGASA has its own application and annual limits. Keep all court, conciliation, insolvency and payroll documents accessible after moving, graduation, separation or leaving Spain.

Problems and Claims

Separate the defects

A wrong convenio group creates a salary and possibly contribution difference. Missing hours affect time, pay and bases. Off-book cash can hide tax and Social Security. An illegal deduction is a direct wage shortfall. Wrong form 145 data affects withholding, while wrong tax residence requires broader tax analysis. List each defect, period, correct amount, actual amount and evidence rather than asking payroll to review everything vaguely.

Send a written correction request with a deadline and ask for amended payslips, bank payment, Social Security bases and annual certificate. Preserve the response. If the problem is a declared base or alta, use Importass evidence and Social Security correction. If it concerns convenio, hours, cash work or unlawful deduction, worker representatives, a union or the Labour Inspectorate can investigate.

Preserve the binding claim

Inspectorate action can sanction and support correction, but the worker may still need pre-court conciliation and social court for a binding wage judgment. Calendar each wage period and any shorter termination or retaliation deadline. Bring contract, convenio, time, payslips, bank, bases, written claim and calculation. Do not sign a settlement showing money received when it was not, or a waiver broader than a verified payment.

Report forged payroll, identity misuse, diverted bank changes or criminal coercion to the bank and police where appropriate. A genuine payroll dispute is not automatically criminal fraud.

Handle insolvency

FOGASA protects qualifying recognised unpaid wages and termination indemnities after employer insolvency or concurso, not any allegation immediately. Its 2026 FAQ publishes a EUR 94.78 double-SMI daily module including extra payments, wage coverage up to 120 days or EUR 11,373.60, and indemnity limit EUR 34,594.70 for qualifying 2026 causes. These limits are dated and must be rechecked.

Use free public information, union or worker representation, tax or Social Security assistance, bar orientation and legal aid where eligible. Qualified labour and tax help is proportionate for multiple employers, large or long-running shortfalls, false self-employment, insolvency, cross-border tax, retaliation or a short deadline.
