Offices for residence permit applications and renewals in Belgium

Your municipality’s foreigners’ desk is where the paperwork begins

Residence cards and permit renewals are dealt with at the foreigners’ desk of the municipality where you live. Offices differ in how they take first contact and which groups they serve, such as students, permit holders and EU citizens. Some assign every appointment themselves after you phone, and some close parts of the week.

Ask for the extension 30 to 60 days before your card expires, online or at a counter appointment.

Prepare the passport identity/photo page, both sides of the residence card or annex 15, 49 or 50, and evidence required for your particular status. Check the previous federal decision for requested documents and ask if unclear. Bring originals to an in-person visit. Online, submit a separate form per person except that family-reunification renewal allows one application for yourself and your minor children.

At a recognised institution, book your renewal appointment at least 15 days before expiry, even with documents missing.

Always bring your original valid passport and residence card to a visit. Recognised institution: new-year standard enrolment form (at most one month old for a mid-year request), means through scholarship/blocked account/Annex 32 as applicable, health-insurance proof at most six months old, and progress form and grades unless exempt; first-year doctoral students still need proof of the previous year’s graduation. Use all-paper or pre-sent digital supporting documents; passport and a guarantor’s Annex 32 paperwork are specified paper exceptions. Send missing digital evidence before the visit. The city takes a free photo for this recognised route. Private institution: follow the 2026–27 list, including an approved-provider bank guarantee rather than an old study-duration Annex 32, enrolment, insurance, progress/grades, no-OCMW-assistance proof and criminal-record extract at most one month old. Check earlier federal decisions against the new list. Ask about return rights before study-related absence abroad exceeding 90 days. For recognised-institution cases using a first or replacement Annex 32, check the city’s extra guarantor-document list; a guarantor living in Belgium should attend if possible for legalisation.
