Classify Role

Classify the Placement as Curriculum, Exchange, Employment, or Observation

Use the real duties, learning basis, control, output, supervision, credit, and remuneration before accepting the label.

Build a classification table from facts: sending institution, Icelandic host, programme, learning outcomes, ECTS, institutional approval, dates, hours, supervisor, daily task control, assessment, remuneration, host benefit, productive output, and termination authority. Record whether the evidence supports a curricular placement, Erasmus or exchange traineeship, paid employment, observation or job shadowing, volunteering, or more than one category.

A formal curricular placement needs a genuine programme connection, defined learning outcomes, supervision, assessment, and the institution's method for granting credit. An Erasmus traineeship additionally follows the sending institution's mobility and grant process. Current Erasmus guidance expects the student, sending institution, and host to agree the activities and recognition in a learning agreement before mobility. It can cover curricular, voluntary, or recent-graduate traineeships, but that European programme label does not settle Icelandic employment or immigration treatment.

Test productive work separately

If the host directs daily duties and receives output that would otherwise be performed by staff, test employment regardless of an “intern” title. Record wage, collective agreement, working time, holidays, pension, tax, notice, and payroll. Academic supervision does not remove a host's employment obligations. An absence of promised pay is a warning requiring review, not proof that productive work is lawfully unpaid.

Observation means mainly watching, orientation, and discussion without operational responsibility, employee displacement, or controlled productive output. Volunteering has its own facts and must not be used to avoid wages. Compare the role description with programme outcomes and expected ECTS workload. Flag routine labour, unrelated duties, or an hours total that cannot support the claimed learning.

Ask the relevant university identified through the official university framework or the sending institution to confirm recognition, language, approval, assessment, credits, and required agreement in writing. Record whether remuneration is required, allowed, prohibited, or unresolved. The stored parental-leave source is unrelated to classification.

The final file should contain the advertisement, offer, duties, dates, hours, pay position, control, learning outcomes, ECTS, supervisor, institutional response, and unresolved questions. If facts point to multiple categories, pause before signing and ask the institution plus the competent employment or immigration body.

Screen Host

Find and Screen a Credible Host and Role

Verify identity, supervisor, learning capacity, location, language, accessibility, fees, and working conditions.

Search through the programme, faculty, university career or international office, Erasmus office, EURES, and the Directorate of Labour's vacancy channels. The official vacancy-registration service explains how employers place jobs in the Directorate's system, but a listing is only a lead. The host still selects and contracts, and the institution still decides academic approval.

Verify the organisation's registered name and kennitala, real operating address, website history, contact domain, telephone, business or institutional activity, and authority of the person making the offer. Identify a named day-to-day supervisor, their role, availability, feedback schedule, assessment capacity, and substitute. Do not send passport copies, bank details, or sensitive academic records until the recipient and purpose are verified.

Request a written role description with location, duties, expected outputs, working language, dates, schedule, supervision, learning goals, pay, expenses, remote days, travel, equipment, and safety needs. Compare it with the classification and curriculum. Ask for changes if routine tasks dominate, learning goals are absent, or the supervisor cannot support assessment.

Screen operational and fraud risks

Reject productive unpaid trial work and demands for recruitment, placement, training, immigration, equipment-release, or similar fees unless an independent institutional and legal check establishes the exact contractual basis. Treat urgent transfers, cash, cryptocurrency, passwords, one-time codes, original passports, wage repayment, or unrelated account use as serious warnings. Preserve the advertisement and messages. The stored unpaid-parental-leave source does not validate a placement or fee.

Test commute, housing, rural location, shift pattern, winter travel, workplace language, emergency instructions, internet, time zone, remote systems, equipment, and accessibility. Ask how the host handles language-sensitive safety information and reasonable adjustments. A remote label does not remove supervision, data security, work-location, or immigration questions.

Keep vacancy, application, interview, identity checks, supervisor confirmation, fee requests, location assessment, and written commitments together. Advance only when the host is credible, the role matches learning, practical access works, and every warning has a documented resolution.

Secure Status

Secure the Correct Residence and Work Right Before Starting

Choose the route from nationality, current status, classification, pay, study, and all concurrent work.

Record nationality, Nordic or EEA/EFTA branch, third-country status, existing residence decision, permit validity, programme, placement classification, host, pay, dates, and other jobs. Residence registration and work access can follow different rules. A kennitala, Icelandic address, admission letter, signed offer, fee receipt, or pending application does not prove that the right is effective.

For a third-country participant, compare the arrangement with the student residence-permit process. It recognises full-time university study, certain exchange routes, internships when Icelandic work forms part of study, and defined technical or workplace study. The route requires its own confirmation. Unconditional full-time university admission is normally 30 ECTS per semester, while an internship route needs university confirmation that the work is part of study plus the current placement and employment documents.

Apply current work rules to the classification

A valid student-permit holder may currently work as an employee up to 60% of full-time employment during study without a separate work permit. Self-employment remains prohibited. Scheduled academic breaks and formal workplace training or internship programmes have defined exceptions. Aggregate the placement with every paid job, using the relevant full-time basis and exact dates. Obtain Directorate confirmation when only part of the role is curricular or the exception is unclear.

The June 2026 employee-work rule does not mean every incoming internship applicant can start. A first-time student applicant cannot work until the residence permit is issued. Exchange, internship, existing-family, EEA/EFTA, Nordic, and employment-based routes remain separate. Preserve the filed application, document receipt, decision, card or follow-up, and effective date as distinct events.

For the selected route, verify identity, support, health insurance, criminal record, admission or study confirmation, employment or placement papers, translations, authentication, originals, and fee. The Directorate asks complete autumn student files by 1 May and spring files by 1 October; refresh timing and route-specific requirements before filing.

End with allowed, not allowed, conditional, or unresolved, the competent authority, channel, dated rule, fee, scope, reporting and renewal duties, and written result. Stop before commencement if classification, status, or evidence falls outside a clear route.

Sign Terms

Sign Learning, Employment, Pay, Insurance, and Data Agreements

Use documents that match the classified arrangement and agree on learning, work, safety, rights, and exit before starting.

Select documents from the classification. Use a learning or training agreement for academic objectives and recognition. Use an employment contract when paid productive work exists. Use written observation terms when no operational work is performed. One placement can require both academic and employment documents; neither should silently replace the other. The stored parental-leave application source does not define internship agreements.

Name student, host legal entity, sending and receiving institution where relevant, workplace, supervisor, academic contact, start and end dates, ordinary and maximum hours, location, remote days, duties, reporting line, and change or termination procedure. Link learning outcomes to activities, feedback, deliverables, attendance, assessment, supervisor approval, ECTS, transcript treatment, and the institution's process if credit is refused.

Contract productive work fully

For paid work, state wage basis, pay date, overtime, shift premiums, holiday, bonuses, expenses, notice, pension fund, deductions, union, and applicable collective agreement. Require a payslip for every salary payment showing hours, wage components, withholding and public deductions, pension, union fees, and other items. An internship label does not justify terms below the mandatory agreement.

Allocate risk assessment, induction, equipment, protective clothing, emergency instructions, injury reporting, accident and liability insurance, health cover, travel, accessibility adjustments, and remote-work costs between named parties. Current Erasmus guidance recommends at least accident insurance for harm to the trainee at work and liability insurance for harm caused by the trainee; confirm the actual policies, limits, dates, territory, and exclusions.

Define confidentiality, lawful personal-data handling, access and deletion, intellectual-property ownership, academic submission, portfolio or reference permission, and return of material. Academic use does not override host or third-party rights. Add complaint contacts for safety, harassment, discrimination, pay, supervision, and academic issues. State how early exit affects wages, expenses, ECTS, insurance, data, and immigration.

Obtain dated signatures or authenticated electronic acceptance from the student, host, and required institution before starting. Keep version history and written amendments. Refuse commencement when dates, hours, duties, pay, insurance, approval, or termination terms contradict the immigration decision or classification.

Work Safely

Start with Induction, Safe Work, and Meaningful Supervision

Assess the actual workplace, train before tasks, schedule supervision, and create same-day reporting routes.

Before observation or productive activity, review the host's risk assessment for the actual location, machinery, chemicals, biological exposure, manual handling, travel, lone work, customers, remote environment, language, and accessibility. Record whether duties changed after assessment. Do not perform a task requiring training, licence, protective equipment, or authorisation until all are complete.

Sign an induction record covering emergency numbers and exits, first aid, incident and near-miss reporting, protective equipment, safe systems, data and physical access, working alone, harassment contacts, sickness notice, hours, breaks, and remote-work security. The host should identify the person giving daily instructions, approving attendance, and addressing safety. The institution should identify the person assessing learning and credit.

Make supervision operational

Schedule feedback meetings with dates, learning goals, work reviewed, problems, corrective action, responsible person, and deadline. Compare actual tasks and hours with the approved agreement at every meeting. Routine labour, excessive hours, isolated work, missing instruction, or unapproved responsibility should trigger correction rather than being accepted as normal experience. Escalate repeated non-response to host management and the academic contact.

Provide a same-day channel for injury, near miss, unsafe equipment, harassment, discrimination, violence, or inaccessible conditions. Employers must respond to harassment through their workplace safety process. A serious accident requires emergency help through 112; reportable workplace accidents are generally the employer's responsibility and current official rules set a seven-day reporting deadline. Preserve the incident, response, medical record, witness facts, and report copy.

For sickness, notify the employer promptly and provide a certificate when validly requested. The current sick-leave overview explains the statutory minimum and the role of collective agreements and union funds. Keep work-pay rights separate from academic absence and immigration insurance.

Test physical and digital accessibility, transport, communications, and adjustments before the barrier causes unsafe work or missed assessment. If immediate danger, serious injury, harassment, or failed supervision prevents safe continuation, stop the affected activity, seek emergency or medical help where appropriate, preserve evidence, and activate the agreed host, institution, insurance, replacement, or termination route.

Track Evidence

Track Hours, Pay, Tax, Pension, ECTS, and Permit Compliance

Reconcile employment, academic, expense, and immigration records continuously and preserve every correction.

Maintain a daily timesheet separating placement, other employment, official academic-break work, absence, remote work, and approved academic activity. Record location, start, end, breaks, duty, employer, pay period, learning outcome, and supervisor approval. Keep original schedules and amendments. Recalculate aggregate paid work under the applicable student rule whenever a job, shift, overtime, placement classification, or break date changes.

For paid work, compare every statement with the official salary guidance, contract, collective agreement, time record, and bank. Check ordinary hours, overtime, shift premiums, holiday, bonuses, expenses, tax and public deductions, pension, union fees, other deductions, and net pay. A bank deposit without a payslip does not evidence correct wages; a payslip deduction does not prove pension remittance. Verify the named fund's member record.

Keep money and learning distinct

Record expenses by approval, receipt, purpose, currency, payer, due date, and reimbursement. Do not classify reimbursement as wages or assume an unapproved cost is recoverable. Keep grant payments, host contributions, tuition, wages, and expenses in separate ledger categories because each can have different tax and permit treatment.

Maintain an academic ledger linking duties to learning outcomes, deliverables, attendance, supervision, assessment, ECTS calculation, institutional milestone, and final recognition. Save feedback and corrective actions. If actual work no longer supports an approved objective, ask for a written amendment before continuing and do not manufacture evidence at completion.

Review withholding and public deductions during the year and retain material for the correct Icelandic tax return. Record unresolved tax classification for specialist confirmation rather than giving a personal conclusion. Match pension periods and wage bases to the employment terms and ask payroll or the fund to correct discrepancies.

Before renewal or status change, reconcile admission or enrollment, progress, ECTS, placement dates, aggregate work, official breaks, pay, insurance, and institutional confirmation with current immigration conditions. Set weekly time reviews and monthly payroll, expense, academic, and permit reviews. Keep the original entry, correction request, response, corrected document, and effective date as an audit trail.

Finish or Exit

Complete Assessment and Proof or Exit an Unsafe Placement

Secure the strongest completion records, or separate urgent safety, academic, wage, insurance, and status actions after failure.

Before the final day, compare learning outcomes, deliverables, attendance, hours, feedback, and assessment with the agreement. Obtain a dated host evaluation naming duties, dates, completed hours, supervisor, outcomes achieved, and unmet items. Submit through the institution's formal process and obtain the actual transcript entry, ECTS confirmation, certificate, or other recognition. A friendly host email is not equivalent to academic credit.

Reconcile final timesheet, wage, overtime, holiday, bonus where applicable, pension, deductions, expenses, equipment return, and every payslip. Ask for a factual reference only after reviewing its scope. Obtain explicit written permission before using host documents, code, designs, photographs, personal data, confidential information, or intellectual property in a portfolio or public profile.

Separate early-exit consequences

If duties drift or supervision fails, record the agreement term, actual facts, prior reports, and missed corrections. Notify both named host and academic contacts and request a dated corrective plan, replacement placement, revised assessment, partial recognition, or approved termination. Do not silently disappear if a safe reporting route exists.

For immediate danger, serious injury, harassment, unauthorised work, or acute medical need, prioritise safety and appropriate emergency or medical action. Notify the required workplace contact, preserve incident and medical records, and follow insurance and safety procedures. Final academic paperwork does not replace reporting. An immediate stop for danger must still be documented separately from ordinary notice.

Before any early departure, request written confirmation of completed hours and learning, outstanding wages and expenses, pension, returned property, ongoing confidentiality and data duties, insurance reports, ECTS impact, and immigration consequence. Contact the institution and Directorate separately because a host's termination does not decide residence status.
